Retention Labeling Handling Improvement

Description:

The Edit Metadata functionality in Document Central has been adjusted when using retention labels:

  • For SharePoint: The View/Edit Metadata action can now be used even when a retention label is applied to a document. The metadata can only not be edited if the document is marked as a Regulatory Record or is locked due to being declared a Record.

  • For Azure Blob Storage: The View/Edit Metadata functionality can be used if the document has a label that soft-labels the document entry.

Additionally, new functions for creating or removing a retention label from a document are now provided in a new Codeunit: "Retention Mgt. Pub" in the Namespace "Simova.DMS.Feature.Compliance.RetentionLabel".

Impact:

Users and developers can now modify document metadata without removing or altering retention labels. This streamlines workflows, reduces administrative overhead, and ensures compliance policies remain enforced while metadata stays accurate and up to date.

Users cannot be opened with Security Group configuration

Description: Resolved an issue where the Users page experienced significant loading delays in environments utilizing Microsoft Azure Security Groups. Previously, opening the page triggered a simultaneous synchronization of all security groups and a validation of every associated Permission Set. In complex configurations, this recursive process caused excessive wait times. This logic has been optimized to ensure the page remains responsive.

Impact: The User list can now be accessed instantly without any performance degradation within Document Central. Administrators can manage users efficiently, regardless of the size or complexity of their Azure Security Group structure.

Description: Identified an issue where the content type “Sales Order” / “Verkaufsauftrag” is not available in the content type lookup within Document Dispatch – Dispatch Profiles, despite existing in Document Central – Document Library List. The issue is suspected to be caused by an incorrect filter being applied in the content type lookup.

Impact: Users are currently unable to see and select the “Sales Order” / “Verkaufsauftrag” content type in the lookup, which may hinder the correct configuration and use of Document Dispatch profiles. New Feature - 14477

Grouping of Retrieved Email Documents

We are excited to introduce a significant enhancement to the Document Inbound process: Grouping of Retrieved Email Documents. This feature is designed to streamline the handling of email documents and attachments, providing better clarity and context within the inbound list. By logically grouping multiple entries originating from the same email, users will benefit from improved traceability, reduced confusion, and a more efficient workflow.

How it works

  • 📧 Email Grouping with Package ID: Each email and its attachments are now linked with a unique Package ID, ensuring that all related documents are easily identifiable and grouped together.
  • 🌳 Tree View Display: The inbound list now features a tree view, displaying emails at the top level and their attachments nested underneath. This visual representation makes it simple to see which documents are associated with each email.
  • 🔄 Automatic and Manual Upload: Users can choose to upload MSG/EML files as packages, ensuring consistent grouping and organization of email documents.
  • ⚙️ Configurable Package Handling: Options are available to manage how packages are handled within the inbound list, allowing for tailored document management and ensuring all related documents are displayed together.
  • 📂 Seamless Integration with Document Central: The Package ID is utilized across both Document Inbound and Document Central, enabling users to reference and manage email documents consistently across platforms.

This enhancement not only improves the traceability of documents received via email but also simplifies the handling of grouped attachments and emails, ultimately enhancing the overall efficiency of document processing.
