Task Template

With a task template, multiple recurring tasks can be summarized in a template and provided together. Unlike a task catalog, where individual tasks are selected, a template can combine multiple tasks and assign them directly to the responsible users or user groups.

This allows recurring workflows to be standardized and provided with just a few clicks. The creation of new Flow Path entries is simplified, manual effort is reduced, and it is ensured that all required tasks are assigned to the correct responsible parties.

Setting Up a Task Template

Follow these steps to create a task template:

  1. Start in the Flow Path Administrator Role Center.
  2. Navigate to Catalogs and Templates in the menu bar and select the Task Template menu item.
  3. Click on + New to create a new task template.
  4. Assign a Code for the task template. This serves as a unique identifier for the template. Optionally, you can also provide a description.
  5. Navigate to the Tasks section.
  6. In the Catalog Code column, select a task catalog. You can combine tasks from different task catalogs in one template.
  7. In the Task Line Number column, select the task you previously defined in the selected task catalog.
  8. The Critical column indicates whether the selected task has been marked as critical in the task catalog.
  9. Select a Recipient Type. As a recipient, you can either specify a single user or a user group.
  10. Depending on the selected recipient type, either the available users or the configured user groups will be displayed for selection.

Once you have completed the creation of the task template, you can leave the page.

Tip

You can create as many task templates for different use cases as you like. This centralizes the management of recurring tasks and responsibilities, saving time and ensuring consistent processing.

Removing a Task Template

Task templates can be deleted at any time, as they merely serve as a compilation of tasks from one or more task catalogs. Deleting a task template does not remove the underlying task catalogs or the tasks contained within them.

This allows unnecessary templates to be easily deleted without losing already defined tasks or existing catalogs. Thus, management remains clear, and reusable tasks continue to be available for other templates or processes.

Follow these steps to delete a task template:

  1. Start in the Flow Path Administrator Role Center.
  2. Navigate to Catalogs and Templates in the menu bar and select the Task Templates menu item.
  3. Select the task template you wish to delete.
  4. Click on the Delete action.
  5. Confirm the warning message that appears.

The task template will now be deleted. The tasks stored in the associated task catalogs will remain unchanged.

Removing a Task from a Task Template

Individual tasks can be removed from a task template at any time. The tasks in the underlying task catalog will remain intact.

Follow these steps to delete a task from a task template:

  1. Start in the Flow Path Administrator Role Center.
  2. Navigate to Catalogs and Templates in the menu bar and select the Task Templates menu item.
  3. Select the task template from which you want to remove a task.
  4. Navigate to the Tasks section and highlight the task you wish to delete.
  5. Click on the Delete Line action.
  6. Confirm the subsequent message with Yes to remove the selected task from the template.

The task will be removed from the task template. You can then leave the page.

Information

If the task template has already been used for Flow Path entries, those entries will remain unchanged. The task will only be removed from the template and will not be available for future uses of the task template.
