Absence
With the absence function, you can assign a representative for a defined period. During your absence, new Flow Path entries will automatically be forwarded to the specified representative. The absence can be set up either centrally in the user setup or directly through the Flow Path FactBox. This ensures that tasks, questions, and information can be processed even during vacation, illness, or other absence periods.
Absence Settings for Users
To create an absence for a user, the following steps must be performed:
- Start in the Flow Path Administrator Role Center.
- Navigate to User Setup via the Setup menu item.
- Select the desired user.
- Check the Absence column and open the Absences page via the Absence action.
- Specify the desired absence period with a From date and To date. Then choose whether the representation should be by a single user or a user group.
- Select a representative.
Note
If a representation is set for a user, a corresponding notification message will appear when creating an Information, Question, or Task, provided that this user is absent during the selected period. The message informs about the absence and offers to send the entry directly to the assigned representation.
Existing Information, Questions, and Tasks that were created before the start of the absence will not be automatically forwarded to the assigned representation. The representation rule is only considered when creating new entries.
Absence in the Flow Path FactBox
In addition to the setup in the User Setup, an absence can also be created directly through the Flow Path FactBox. This provides a quick way to set up a representation without having to open the user setup.
The following steps must be performed:
- Navigate to a record with the Flow Path FactBox.
- Open the Absences page via the drill-down function.
- Specify the desired absence period with a From date and To date.
- Choose whether the representation should be by a single user or a user group.
- Select the desired representative.
Important
Through the Flow Path FactBox, each user can only manage their own absence. It is not possible to set up or edit absences for other users in this way.
