Information
With an information entry, important information can be recorded in Flow Path and specifically shared with users or user groups. Information entries serve documentation and communication within business processes and do not require editing by the recipient. This way, relevant information is stored centrally, remains traceable, and is available to all parties at any time.
Create a new information entry via the Flow Path Info FactBox
Through the Flow Path Info FactBox, you can directly capture new information related to a record and share it with other users or user groups. This centralizes important notes and information, making them traceable for all involved.
Follow these steps to create an information entry using the Flow Path Info FactBox:
- Navigate to any record, for example, an entry in the Posted Sales Invoices.
- Select a record.
- The Flow Path Info FactBox will be displayed on the right side.
- Open the drilldown menu of the Flow Path Info FactBox by clicking on Flow Path.
- Select the action New Entry.

Activate the toggle next to Write Information, Information from a Catalog, or Information from a Template.

Write Information
On the next page, enter your information in the text field. Additionally, you can specify whether the information should be marked as critical. -
Information from a Catalog
On the next page, select an information catalog. Click Next to view the information defined within it. Then select the desired information. Whether an information is marked as critical is determined when the information catalog is created. -
Information from a Template
On the next page, select an Information Template and click Next. All information previously stored in the template will then be displayed. Recipients already defined in the template will be automatically carried over and pre-selected. The assignment can be adjusted if necessary before creating the entry.

Click Next to assign the information to a user or user group. Select the desired recipient and define a due date if necessary.
- Through the action Additional Entry, you can create another independent information entry. Unlike a template, the new entry is not combined with existing entries but is created as a separate Flow Path Entry. For this entry, you can specify your own recipient and assign the information to a user or user group.
Acknowledge Information
After reading an information entry, you can mark it as acknowledged. This documents that the information has been read and no further action is required.
- Open your Flow Path Entries via the Open tile in the Role Center or open the record that contains the Flow Path Information Entry.
- Select the desired Flow Path Information Entry.
- If necessary, you can sort the entries by Type or Creation Date.
- Open the information entry and review the content of the provided information.
- Click the action Acknowledge Information to mark the information as read.
- Once all assigned users have acknowledged the information, the entry will automatically be moved to the Completed tile.
Attention
If the Blocking Function is activated and the information has been marked as critical, the affected record can only be processed further after all responsible users have marked the information as acknowledged.
