Recreating Metadata

In certain cases, it may be necessary to manually recreate or reload metadata within Document Central. This is typically required when new metadata definitions (e.g., fields or types) have been introduced after Document Central was already in use.

Metadata recreation is performed per document library and subsite and runs in the background.

Important

  • Default mappings must be configured in document libraries for synchronization to work. Mappings are included in the standard configuration. Verify mappings if using a custom setup.
  • Up to 10 background sessions per tenant can be processed concurrently. Additional sessions will be queued until slots become available.

Info

The Metadata Recreation list starts empty. Use the Fill List action to populate it.

Setting up Default Mappings

To assign a default mapping to a document library:

  1. Navigate trough the Document Central – Administrator role center.
  2. Click Repository in the ribbon bar and select Document Libraries.
  3. Choose the document library to edit and click Edit.
  4. Select a mapping code in the Default Mapping field.
  5. The default mapping is now assigned to the document library.

Applying a Start Date for Recreation

You can apply a Start Date filter on the recreation entry to limit the scope of documents by their last modified date.

Info

Documents outside the specified date range will not be affected.

To set a Start Date filter:

  1. Go to the Document Central – Administrator role center.
  2. Click Metadata Recreation Cue in the Role Center.
  3. Enter the desired value in the Date Filter field.

Important

When using Azure Blob Storage, the filter from the Start Date will be set on the Document Entries creation date.

Recreating Metadata

Metadata can be recreated via actions on pages where documents are displayed (e.g., Document Entry, Data Grid), or through a background process similar to the Document Entry Synchronization.

Important

Ensure the Default Mapping is defined for the document library before starting the recreation process.

Each entry allows you to define whether to recreate all metadata or only new metadata. This can be configure via an Checkbox on the entry.

Recreating Metadata Automatically for an Entire Library

When the recreation entry status is set to Ready, the job queue in Document Central will start processing it.

Warning

Metadata recreation can be time-consuming. For large libraries, it is recommended to schedule the process outside of working hours. Please also be aware that not every document library should be updated at the same time, due to issues caused by too many external requests. It is recommended to perform no more than two recreations at a time.

To initiate automatic metadata recreation:

  1. Navigate to the Document Central – Administrator role center.
  2. Click on the Metadata Recreation Cue in the Troubleshooting section.
  3. Select the desired document libraries and click Set on Hold in the ribbon bar.
  4. The entries will be marked as Ready and processed by the job queue Document Central Job Queue - Recreate Metadata.

Important

Ensure the job queue Document Central Job Queue - Recreate Metadata is properly configured.

Recreating Metadata Manually for an Entire Library

To manually trigger metadata recreation:

Metadata recreation can be time-consuming. For large libraries, it is recommended to schedule the process outside of working hours. Please also be aware that not every document library should be updated at the same time, due to issues caused by too many external requests. It is recommended to perform no more than two recreations at a time.

  1. Navigate to the Document Central – Administrator role center.
  2. Click on the Metadata Recreation Cue in the Troubleshooting section.
  3. Select the desired document libraries and click Start Recreation in the ribbon bar.
  4. The recreation process will begin for the selected libraries.

Recreation Status Overview

Each recreation entry has a status indicating its current state:

Status Description
Ready The job queue will start processing the entry.
On Hold No action is currently performed. Use the Set Ready action to enable automatic synchronization.
Error An error occurred. The process can be restarted from where it stopped after it has been fixed.
In Recreation Metadata recreation is currently running.
Paused The process was paused and can be resumed later.

Info

When the status is In Process, you can stop and resume the recreation at any time.

Important

Use the Reset action to reset the recreation status. This will clear the whole progress and restart the process from the beginning.

Notes

  • Metadata recreation can only be performed when no other troubleshooting or background processes are active on the document library. For example, if a synchronization is currently running on the same library, metadata recreation is not possible at the same time.
