Migration of documents from the BC Standard to Document Central

Released

This feature allows customers to migrate documents stored using the Business Central attachment standard into Document Central. Migration can be done at the record level via the Document Central Factbox or in bulk through the Document Central Module Setup. Benefits include simplified migration, user flexibility in retaining or deleting migrated documents, enhanced traceability with migration logs, and improved efficiency for large datasets through bulk migration with mapping selection.

Introducing the Dossier View feature in Document Central, designed to significantly improve loading times within the Document Central Factbox. This enhancement establishes a direct link between Master Data and Document Central Documents, particularly beneficial on pages managing numerous documents. Configured via a Custom Field within the Field Mappings section, metadata values from Master Data, such as "Customer No.", are automatically populated. The Dossier View utilizes this Custom Field to efficiently filter documents, substantially reducing load times and optimizing document retrieval. This results in a streamlined user experience and increased efficiency through targeted filtering based on Master Data.

Enhanced Document Relation Support for Non-Primary Key Fields

Introducing Enhanced Document Relation Management: Our upcoming feature addresses the challenge of managing document relations between Voyage and Call tables, especially when constrained by primary key limitations. We will implement an event to bypass the primary key dependency, allowing document relations to be established using the SimovaID field. This ensures accurate document associations without altering the table structure. These enhancements will ensure accurate document relations, improved system robustness, and scalability.

Move elements to document inbound list

The new enhancement for the "Document Central Link" Outlook extension allows users to forward emails or their attachments directly into the Document Inbound extension, populating them into an inbound processing list within Business Central. This feature provides a fallback process when automatic record matching fails, enhancing the flexibility and robustness of document management, and reducing manual email handling by consolidating unmatched emails into a single processing location.

Document Overview Accessibility via Action Bar in Business Central

The upcoming feature enhances the accessibility of the Document Overview in Document Central. Users will now have the ability to open the Document Overview from the action bar, across all areas where the Document Central Factbox is currently present. This feature is especially beneficial for users with smaller displays who prefer a minimized UI, as it ensures that Document Central features remain available even if the Factbox is hidden. This new feature improves overall usability and accessibility without requiring the Factbox to be enabled.

Metadata Regeneration Feature for Dossier View in Document Central

Introducing a new feature to enhance the Dossier View functionality by retroactively regenerating metadata for existing documents. This update allows DMS administrators to add missing metadata fields, ensuring all documents are correctly displayed in the Dossier View. This improvement eliminates the need for additional search configurations, maintaining performance while providing complete document overviews and offering a valuable troubleshooting tool for administrators.

Redaction of Critical Information

Introducing advanced information access control within Document Central, allowing administrators to restrict user access to sensitive content within documents. This feature leverages both explicit configurations and an AI-driven process for automatic redaction. An asynchronous document preview process ensures smooth loading and prevents system blocking, enhancing user experience. Benefits include enhanced security, improved system performance, and flexible data redaction to meet compliance needs.

Hash-Based Document Identification in Document Central

Introducing a new feature in Document Central: Hash Value Integration for Document Entry Table. This enhancement adds a hash value to each document stored, facilitating unique identification and verification. The hash value will be generated during document storage and used to check for duplicates, ensuring data integrity and optimizing repository space. Additionally, it will improve search and retrieval performance, allowing faster access to documents based on content uniqueness, and strengthen compliance by providing a consistent method for verifying document authenticity.

Improved Permission Display and Naming Consistency

This feature improves user experience by providing clear feedback when access to the Document Central Factbox is denied, displaying a message instead of a dark zero. It also standardizes the terminology for "Permission Control" across the product, enhancing transparency and consistency while reducing unnecessary admin inquiries.

Handling of Original Creation Date in Azure Blob Storage Migrations

Introducing our latest feature designed to preserve and utilize original creation/index dates during document migrations from a source DMS to Azure Blob Storage (ABS). This enhancement ensures that migrated documents reflect their true creation dates, enabling accurate filtering, sorting, and retention period calculations in Document Central. It also lays the groundwork for seamless migrations between SharePoint and ABS, ensuring correct metadata preservation and manipulation. This feature supports GDPR compliance by using the correct creation date for retention policies.
