Setting up Dossier View

The Dossier View is a feature in Document Central that improves the loading time of the Document Central Factbox. It achieves this by creating a direct connection between the Master Data and the Document Central Documents for pages with a large number of documents.

The Dossier View works by linking the Master Data with the Document Central Documents through a Custom Field. This Custom Field is defined within the Field Mappings in the Mapping section of Document Central. The Custom Field can be linked to a metadata field, which allows the metadata value to be written into the designated Custom Field.

For example, if the mapping containing the "Customer No." is selected as Custom Field 1, the "Customer No." will be written to the Custom Field 1 of the Document Central document. If Dossier View is then enabled for the customer mapping with Custom Field 1, Custom Field 1 is used to filter documents in the Document Central Factbox, significantly improving load times when opening the customer page.

Warning

Enabling the Dossier View disables the following Document Central features for the associated mapping:
- Search based on Document Relationships
- Additional Search
- Factbox Background Update

If you are upgrading from a version that did not have the Dossier View feature, the following steps are required to ensure that the correct documents are displayed in the factbox when the Dossier View feature is enabled for a mapping


Creating a Metadata Field for the Dossier View

Follow these steps to create a metadata field for the Dossier View:

  1. Navigate to the Document Central - Administrator Rolecenter.
  2. In the ribbon bar, click on Mapping and select the Mappings action.
  3. Choose the desired Mapping Code.
  4. Scroll down to the Field Mapping section.
  5. Select the desired Field Mapping where the Dossier View needs to be added.
  6. In the Dossier View field, select one of the five available options.
  7. A dialog will appear asking if you want to apply the selected Dossier View Custom Field to all mappings that use the same metadata. Confirm as needed.

Synchronizing Existing Documents with Dossier View Values (Specific Mapping)

To synchronize existing documents with Dossier View Values for a specific mapping, follow these steps:

  1. Navigate to the Document Central - Administrator Rolecenter.
  2. In the ribbon bar, click on Mappings and select the Mappings action.
  3. Choose the desired Mapping Code.
  4. In the ribbon bar, click on the Synchronize Dossier Views Values action.
  5. Confirm the dialog asking if you want to synchronize the Dossier View Values.
  6. Do not confirm the dialog asking if the synchronization should be performed for all mappings.

Synchronizing Existing Documents with Dossier View Values (All Mappings)

To synchronize existing documents with Dossier View Values for all mappings, follow these steps:

  1. Navigate to the Document Central - Administrator Rolecenter.
  2. In the ribbon bar, click on Mappings and select the Mappings action.
  3. Choose the desired Mapping Code.
  4. In the ribbon bar, click on the Synchronize Dossier Views Values action.
  5. Confirm the dialog asking if you want to synchronize the Dossier View Values.
  6. Confirm the dialog asking if the synchronization should be performed for all mappings.

Activating the Dossier View

Follow these steps to activate the Dossier View:

  1. Navigate to the Document Central - Administrator Role Center.
  2. In the ribbon bar, click Mapping and select the Mappings action.
  3. Choose the desired Mapping Code.
  4. In the Document Central Factbox Settings group, enable Dossier View.
  5. Click the number (count) in the Configured Dossier Fields to open the Dossier Configuration List.
  6. In the Dossier Search Field column, select the custom field that is mapped to the required metadata.

If the mapping contains two Include in Query fields, both metadata fields must be mapped in the Dossier Configuration List. Otherwise, the Dossier View filter will not return the expected documents.

The Additional Dedicated Dossier Search lets you narrow a Dossier View search to a single metadata value when a mapping uses multiple Include in Query fields. By default, a Dossier View filters on all configured Dossier custom fields. This means a document must contain every involved metadata value in its Dossier fields to appear. Enabling this option allows you to additionally search only for the selected metadata value to provide a more targeted filter.

Info

  • Available only for mappings with multiple Include in Query fields.
  • The search excludes documents in the same document library as the current mapping; only documents from other mappings are considered.
  • Both metadata fields still need to be mapped for the Dossier View.

Follow these steps to enable the Additional Dedicated Dossier Search:

  1. Navigate to the Document Central - Administrator Role Center.
  2. In the ribbon bar, click Mapping and select the Mappings action.
  3. Choose the desired Mapping Code.
  4. Ensure Dossier View is enabled in the Document Central Factbox Settings group.
  5. Click the number (count) in the Configured Dossier Fields to open the Dossier Configuration List.
  6. Enable Additional Dedicated Dossier Search for the relevant entry.
