Inbound List

Inbound lists are the heart of Document Inbound by Simova. They are created in Business Central and act as the storage location for uploaded and imported documents. Documents in the list can be processed automatically or manually (splitting and assigning). Documents that cannot be processed are set to Pending, which requires manual handling by a user.

Statuses in Document Inbound

Status Description
Open The document is ready for processing
Pending The document requires manual action
Archived The document has been archived

Package and Tree View

When emails with attachments are imported, the system can group them together as a package. Packages are displayed in a tree structure on the Inbound Documents page, making it easy to see which documents belong together.

Package Structure: - Leading Document (the email file itself) appears at the top level - Package Members (attachments) are shown indented below the leading document - All documents in a package share the same Package Id

Tree View Features: - The tree view is initially collapsed to provide a clean overview - Click on a leading document to expand and view all related package members - Documents are sorted by Package Id and indentation level - Use the View Package Files action to see all documents in a package

Package Handling

Configure how packages are processed in the Package Handling section of the inbound list settings. You can control whether the leading document can be processed and how additional package documents are handled during assignment. See Setting up the Inbound Lists for more details.

User assignment

Document Inbound lets you assign documents to specific users, creating clear accountability and simplifying workload distribution.

Assign documents

  1. Open the Inbound List.
  2. Select a document.
  3. Open the document card.
  4. In Assigned User, choose the user from the dropdown.
  5. The system validates that the user exists.
  6. Save your changes.

View assigned documents in the Role Center

Assigned documents appear automatically in the user’s Role Center:

  • My Documents: Filtered view showing only documents assigned to the signed-in user
  • Count: Shows the number of open assigned documents
  • Direct access: Users can jump directly to their assigned documents
  • Status filtering: Can be filtered by status (Open, Pending)

Benefits of user assignment

  • Clear responsibility: Every document has a responsible user
  • Better tracking: See who is working on what
  • Workload balancing: Distribute work evenly across the team
  • Prioritization: Users see their assigned tasks immediately
  • Accountability: Improves ownership for document processing

Mass assignment

To assign multiple documents at once:

  1. Select multiple documents in the Inbound List.
  2. Use Assign User (if available).
  3. Choose the target user.
  4. All selected documents are assigned to that user.

Unassign a document

  1. Open the document card.
  2. Clear the value in Assigned User.
  3. The document becomes available for assignment again.
