Working with Document Central Actionbar

To provide users with efficient access to all document-related features, Document Central introduces a dedicated group in the page actionbar named "Document Central". This group contains the same actions that are available in the Document Central factbox, enabling users to choose the workflow that best fits their needs — whether they prefer accessing functions directly from the factbox or via the main actionbar.

These actions cover the full document lifecycle — from initial setup and uploading, to managing relationships, synchronizing with external storage, and even migrating legacy attachments. By consolidating these tools into the page actionbar, users benefit from faster access, better discoverability, and a more streamlined document management experience.

Configuration Wizard

Launches an interactive wizard that guides users step-by-step through the setup process of Document Central on the current page. This is especially helpful for first-time users or administrators who are configuring Document Central for a new table or entity. The wizard automatically detects required fields and provides default options to simplify the setup.

Benefits

  • Reduces setup complexity by guiding the user through required steps.
  • Ideal for onboarding and first-time configuration.
  • Minimizes configuration errors through structured guidance.

Archive

Opens the document archive view, showing all documents associated with the current page's record (e.g. a specific Sales Order, Vendor, or Item). Users can browse uploaded documents, apply filters, and view metadata to understand which documents are stored and how they are used.

Benefits

  • Gives users complete visibility into all related documents.
  • Makes it easier to audit document availability for a given record.
  • Supports compliance and traceability by exposing the full document history.

Archive Queue

Displays the list of pending and completed print jobs that are being processed through the Document Central Archive. This is especially useful for monitoring batch processes like mass document archiving or automated print jobs.

Benefits

  • Helps track and troubleshoot automated print jobs.
  • Useful for administrators monitoring print-based archiving workflows.
  • Ensures visibility into archive processing status.

Configuration

Navigates to the configuration screen for Document Central, where users can define mapping rules, configure document libraries, specify which fields are used as identifiers, and adjust other behavior such as preview toggles and SharePoint settings.

Benefits

  • Enables fine-tuning of Document Central behavior.
  • Supports different use cases through flexible mappings.
  • Central access point for administrative configuration.

Relation Management

Opens the relation management view for the current record, showing all entries that are linked via document relationships. This allows users to view or edit how documents from different sources are connected — e.g., linking a purchase invoice to its original purchase order.

Benefits

  • Helps maintain document chains and trace origins.
  • Allows linking and cross-referencing between related records.
  • Improves process transparency and documentation consistency.

Sync Documents

Triggers synchronization of the current record’s documents with external storage systems such as SharePoint or Azure Blob Storage. It compares local metadata and document versions with the remote system to ensure consistency.

Benefits

  • Keeps data aligned between Business Central and external storage.
  • Prevents desynchronization or document loss.
  • Ensures that team members always work with the latest version.

Migrate From BC

Starts the migration assistant to transfer existing Business Central attachments (e.g. standard file attachments) to Document Central. The assistant allows selecting specific tables and choosing whether to retain the original attachment or fully move it.

Benefits

  • Simplifies the transition from standard BC attachments to Document Central.
  • Automates bulk migration across multiple tables.
  • Helps standardize document management across the system.

Quick Upload

Enables fast document uploads via drag & drop. Users can drop files directly onto the page without navigating through the document library. The documents are automatically linked to the current record.

Benefits

  • Speeds up document onboarding by eliminating unnecessary steps.
  • Supports bulk file uploads with minimal effort.
  • Supports multi selection.
  • Streamlines daily workflows with intuitive drag & drop functionality.

Conclusion

The Document Central actionbar is designed to centralize and streamline document-related operations for end users and administrators alike. By bringing all major functions into one easily accessible location, users can perform complex document management tasks more efficiently, with fewer clicks and context switches.
