Flow Path-Factbox

Flow Path extends various areas in Business Central with additional FactBoxes. These provide relevant information directly in the workspace and assist users in processing, tracking, and navigating Flow Path entries.

Overview

Flow Path provides various FactBoxes that support users in processing and tracking processes. Depending on the area of application, the FactBoxes offer different information and functions.

The Info FactBox provides a quick overview of the current status of Flow Path entries and important key figures.

The History FactBox allows tracking of entries and displays their processing history as well as the current status in real-time.

Information Factbox

The Flow Path - Information FactBox offers a quick overview of the current status of your Flow Path processes. Directly in the FactBox, you can view important key figures such as the number of open and completed entries as well as the presence of critical entries or information. Additionally, it shows whether an absence is recorded. Through the FactBox menu, you can perform further actions, such as managing an absence or creating a new Flow Path entry. This way, all relevant information and functions are centrally and readily available.

Flow Path Information Factbox Structure

The FactBox is intentionally designed to be clear and focuses on simple and intuitive operation. Various status information is summarized in five categories:

  • Open Entries show the number of currently pending Flow Path entries.

  • Completed Entries provide information on how many entries have already been successfully processed.

  • Critical Entries indicate whether there are entries with increased priority for the dataset.

  • Available Information shows whether informative Flow Path entries have been recorded for the dataset.

  • Currently Absent informs whether there is currently an absence recorded for the responsible user.

Through this summary, users can quickly see whether there are Flow Path entries for a dataset, what status they have, and whether action is required.

Flow Path Information Factbox Functionality

Various functions are available through the Flow Path Info FactBox, allowing users to view existing entries, create new entries, and manage their personal availability.

Display Existing Entries

The displayed key figures in the FactBox can be directly selected. This opens the overview of the corresponding Flow Path entries. Users can view open entries, completed entries, critical entries, or available information and see their details.

To open existing entries via the Flow Path Info FactBox, follow these steps:

  1. Open a record overview, such as the Posted Sales Invoices page.
  2. Select a record. On the right side, in the FactBox area, is the Flow Path Info FactBox.
  3. Click on the displayed number under Open Entries.

This will open an overview of all open Flow Path entries for the selected record. This overview displays all open entries regardless of entry type, including Tasks, Questions, and Information.

Create New Flow Path Entry

New Flow Path entries can be created through the FactBox menu. The entry types Task, Question, or Information can be selected. The new entries are directly assigned to the currently opened record and are immediately available to the involved users.

To create a new entry via the Flow Path Info FactBox, follow these steps:

  1. Open a record overview, such as the Posted Sales Invoices page.
  2. Select a record. On the right side, in the FactBox area, is the Flow Path Info FactBox.
  3. Open the FactBox menu and select the action New Entry.
  4. Choose the desired entry type (Task, Question, or Information). Additionally, you can specify whether the entry should be created manually, from a Catalog, or from a Template. Then click Next.
  5. Depending on the chosen creation method, the following options are available:

    • Manual Creation

      Enter the information for your task, question, or information manually.

    • Creation from a Catalog

      Select the desired catalog entry. The stored information will be automatically transferred to the new entry.

    • Creation from a Template

      Select the desired template. The information defined in the template will be transferred to the new entry.

  6. On the next page, compose your Task, Question, or Information. If you want to create a Task, Question, or Information from a catalog or template, select the corresponding catalog or template now.

  7. After you have entered a Task, Question, or Information, you can select a responsible person. This can be either a single user or a user group. You can also specify whether it is a critical entry. Additionally, you have the option to define a due date.
  8. If you have chosen a Task, Question, or Information from a catalog, the available options from the catalog will be displayed. Select a catalog entry and set the responsible person on the next page. You can also select a due date. Whether an entry is classified as critical is defined directly in the catalog.
  9. If you have chosen a Task, Question, or Information from a template, all entries previously defined in the template will be displayed on the next page. You can individually assign these entries to users or user groups. Additionally, you can set a due date for each entry or add a comment.
  10. Complete the wizard by clicking Finish.

The new entry will then be created and displayed in the Flow Path Info FactBox.

Manage Personal Absence in Flow Path

Through the Absence function, users can record their personal absence. Additionally, a representative can be defined who will take over the tasks during the absence period. This informs other users about the absence, and the processing of processes can continue without interruption.

Follow these steps to record an absence via the Flow Path Info FactBox:

  1. Open a record overview, such as the Posted Sales Invoices page.
  2. Select a record. On the right side, in the FactBox area, is the Flow Path Info FactBox.
  3. Open the FactBox menu and select the action Absence.
  4. Define the period of your absence in the From and To fields.
  5. In the Representative Type column, select whether the representation should be by a single user or a user group.
  6. In the Representation column, select the user or user group that should represent you during your absence.
  7. Complete the entry by leaving the page.   The absence will not only be saved for the currently opened record but will also be stored centrally for Flow Path. When a new Task, Question, or Information is created afterward, users will receive a notification that the selected person is currently absent. Additionally, there is the option to forward the entry directly to the recorded representative.

Flow Path History Factbox

The Flow Path History FactBox enables transparent tracking of the entire lifecycle of a Flow Path entry. It is located on the right side of the entry page and provides an overview of all important status changes and activities. From the creation of an entry to its completion, all relevant steps are documented. This allows users to trace at any time when an entry was created, processed, forwarded, or completed, thus providing a comprehensive overview of the current processing status.

The Flow Path History FactBox is only available on the editing page of Flow Path entries and is not available on overview or list views.

Flow Path History Factbox Structure

The Flow Path History FactBox is clearly structured and designed for easy tracking of entries. All relevant information is presented in a clearly structured list, allowing the history of an entry to be traced at any time.

The History FactBox contains the following information:

  • Status – Shows the respective status of the entry.

  • Full Name – Displays the name of the user who performed the action.

  • Date – Shows the date of the status change or action.

  • Time – Shows the exact time of the action.

  • Creator – Indicates who created the history entry.

  • Comment – Displays additional information or notes regarding the respective action.

View Comments through the Flow Path History Factbox

If comments are available for a Flow Path entry, they can be opened and displayed directly through the Flow Path History FactBox.

Follow these steps to view comments via the Flow Path History FactBox:

  1. Start in the Flow Path Administrator Role Center.
  2. Navigate through the Flow Path Tiles to the open Flow Path entries.
  3. Select an entry. The Flow Path History FactBox should be visible on the right side.
  4. Open the menu of the Flow Path History FactBox by clicking on Flow Path – History.
  5. In the drilldown menu, select the action Comment.

All comments available for the selected entry will then be displayed.

Comments can arise, for example, when responses or tasks are rejected. Through this function, authorized users can view and trace the stored comments at any time.
