Using the Multimail Functionality

The Multimail Functionality can be used to send multiple emails at once. This documentation explains how to use the Multimail function.

Execute the Multimail Function

The following documentation explains how to use the Multimail Functionality.

  1. Navigate to Posted sales invoices.
  2. Select the posted sales invoices from which you want to send the emails.
  3. Click on Print/Send on the ribbon bar and execute the action EDS Multimail.

The Multimail Functionality is implemented on these pages: Posted Sales Invoices, Posted Sales Credit Memo, Issued Reminders, Sales Quotes and Sales Orders.

Using the Multimail Preview

The following documentation explains how to use the Multimail Preview. When the Multimail preview is activated, the user can see the attachments, include/exclude attachments or change the recipient email addresses before sending the emails when performing the Multimail Functionality.

The Multimail shows the following information:

Field Description
Type Specifies the different levels within the Multimail preview. The top level is the description of the dispatch profile and specifies the start of a new email. The second level describes the records that multimail has detected for sending. The last level describes the attachment of the email.
To Addresses Specifies the To Addresses of the email.
Cc Addresses Specifies the Cc Addresses of the email.
Bcc Addresses Specifies the Bcc Addresses of the email.
Include Specifies whether the level is included in the email.

Changing the Email Addresses

The following documentation explains how to change the recipient email addresses.

  1. Select a top level entry in the Multimail Preview.
  2. Execute the action Modify Email Addresses.
  3. Change the email addresses by entering them manually or press the text on the right side of the fields to select the predefined business partner email addresses.
  4. Click on OK to save the changes.

Info

If the email addresses have been changed and the multimail sending has been performed, the changed email addresses are updated for the created EDS queue entries.

How to Include/Exclude Levels

The Following documentation explains how to include/exclude levels.

  1. Select a level in the Multimail Preview that should not be included.
  2. Click on the Include field to include/exclude the level.

Info

  • If a Top level entry is excluded, the entire email is not sent. If a Second level entry is excluded, the email is sent without the Second level record and attachments. If an attachment is excluded, the email is sent without the attachment.
  • The EDS queue entries that were excluded in the Multimail Preview are set to cancelled when the sending has been carried out.
