Setting up a DMS dispatch profile attachment

In EDS it is possible to add DMS documents to the dispatch profile. To enable the use of the DMS dispatch profile attachment, the Connecor App DMS to EDS by Simova must be installed and licensed.

Steps to set up a DMS attachment type

The following steps need to be completed to set up an DMS dispatch profile attachment.

  1. We start in the EDS by Simova - Administrator role.
  2. Open Dispatch Profiles from the Setup menu in the ribbon bar and execute Dispatch Profiles.
  3. Select the Dispatch Profile where the DMS attachment should be defined.
  4. Enter the Line Dispatch Profile Attachment and choose the type DMS.
  5. Execute the Options action in the ribbon bar.
  6. Enter the Field Content Type and select the desired DMS Content Type with the lookup.
  7. Enter the Field Caption field and select the desired file caption.

Info

The attachment type DMS Will add all found DMS Entries with the selected content type to the EDS Dispatch Profile.

Steps for Defining a Data Mapping for the sorting criteria

The following steps need to be completed to set up a data mapping for the sorting criteria.

In this exammple a Data Mapping will be created from the Posted Sales Invoices to the Posted Sales Shipments.

  1. Start in the EDS by Simova - Disaptch Profiles.
  2. Select the Dispatch Profile where the DMS attachment was defined.
  3. Enter the Line Dispatch Profile Attachment and choose attachment of type DMS.
  4. Execute the Options action in the ribbon bar.
  5. Navigate to the field Dynamic Mapping Code.
  6. Select the Lookup and choose New.
  7. Enter the Code and Description for the new Data Mapping.
  8. Enter the Description for the new Data Mapping.
  9. Enter the Source Table with "Sales Invoice Header - 112".
  10. Navigate to the Lines.
  11. Select the type Field.
  12. Enter the Target Table with "Sales Invoice Header - 112".
  13. Enter the Target Field with "No.".
  14. Enter the Source Table with "Sales Invoice Line - 113".
  15. Enter the Source Field with "Document No.".
  16. Navigate to a new line.
  17. Select the type Filter.
  18. Enter the Source Table with "Sales Invoice Line - 113".
  19. Enter the Source Field with "Shipment No.".
  20. Enter the Field Filter with <>''.
  21. Naviage to a new line.
  22. Select the type Field.
  23. Enter the Target Table with "Sales Invoice Line - 113".
  24. Enter the Target Field with "Shipment No.".
  25. Enter the Source Table with "Sales Shipment Header - 110".
  26. Enter the Source Field with "No.".
  27. Navigate to a new line.
  28. Select the type Return.
  29. Enter the Source Table with "Sales Shipment Header - 110".
  30. Enter the Source Field with "No.".
  31. Enter the Search Option with "Repeat" for all Lines.
  32. Save and close.

Data mapping test

After you create a data mapping, you can test the data mapping before using it. 1. Navigate to the menu bar in the Data mapping card. 2. Click on Test Data mapping. 3. Select a document from the list where a Sales Shipment Header entry exists. 4. Confirm with OK.

Steps for Defining a sorting criteria for DMS attachment types

The following steps need to be completed to set up a sorting criteria for the DMS attachments.

  1. We start in the EDS by Simova - Administrator role.
  2. Open Dispatch Profiles from the Setup menu in the ribbon bar and execute Dispatch Profiles.
  3. Select the Dispatch Profile where the DMS attachment should be defined.
  4. Enter the line Dispatch Profile Attachment and choose the type DMS.
  5. Select or create a attachment group for the DMS attachment.
  6. Execute the Options action in the ribbon bar.
  7. Enter the field Dynamic Mapping Code and select the desired Mapping with the lookup.
  8. Enter the field Sorting Criteria - Field and select the desired field that will be used as the sorting criteria value.
  9. Enter the field Attachment Group Sequence and enter the order where the DMS attachment should be placed when the document is merged.

  • The DMS attachment type adds the matching documents from the DMS as an attachment. The documents determined from the DMS are sorted according to these criteria in the desired order if sorting criteria are defined.
  • The dynamic mapping code determines from where the DMS entries are searched, if no dynamic mapping code has been configured, the relations and the source record are used to determine the DMS entries
