Overview of business functionality

As an extension for Business Central, EDS by Simova provides several functions for the optimization of business processes. These will empower companies to push the digitalisation of their business.

EDS by Simova is based on CORE by Simova and contains a range of functionalities that make up the core product. It is possible to extend EDS by Simova with further extensions, such as XSD by Simova or DMS to EDS by Simova.

With the core of EDS by Simova you get all the basic features you need to simplify your document output and distribution. You can easily create a batch of business documents, design your own professional-looking email templates using the HTML editor and much more.

In this benchmark it can be seen that Business Central standard is always evolving and adding new functionalities, but compared to special extensions, such as EDS, it does not offer the full range of functions. Extensions to the standard functionalities created precisely for the tasks will usually always offer more possibilities than the standard offered by Microsoft.

Whether the standard is sufficient for a company or whether the functional extensions of the EDS solution offer a company significant added value can only be said exactly after an individual examination. As a general rule, however, it can be said that any company that sends out several invoices or other or other documents per day will benefit from the EDS solution. The reduction in workload due to the automated dispatch of receipts gives employees more time for more important things.

Send documents directly from Business Central

Both the BC Standard with the new document sending profiles and the EDS by Simova solution offer the possibility to send documents and reports directly from Business Central. In both cases, email templates can be customized and made available for different scenarios.

Email templates

The HMTL editor, which has been integrated in the standard since Business Central Version 18.0, for the even more individual customization of the email templates directly during dispatch, offers a similar number of options here as the EDS solution.

Different output types

As with EDS, different output types for documents and reports can now also be defined and configured in the standard system. whereby EDS offers significantly more selection options.

Individual customer setup & Individual recipient setup of all master data.

An individual setup in relation to each customer or vendor, can be done in both solutions. In Business Central Standard, the respective document sending profile can be defined in the customer/vendor card, which determines which outgoing type is selected as the default for this customer/vendor. With EDS, the corresponding settings are made via the business partner setup. Here, however, the user has more setting and configuration options. For example, the individual recipient setup of all master data is another feature.

Fully automatic dispatch

EDS offers the option to send the email with the document automatically in the background to the default email for the debtor when posting the document. This saves the employee valuable time, which he can use for more important tasks.

Delayed dispatch & approval workflow for outgoing documents (4-eyes principle)

While in BC Standard documents and reports can only be sent just-in-time, EDS offers the possibility to schedule the dispatch time, i.e. the e-mail with the report is sent automatically at the selected time. It is also possible to have the dispatch approved by another colleague before the e-mail is sent.

Add further attachments

In contrast to EDS, Business Central Standard does not offer the possibility to define further attachments or to attach other documents to the e-mail. In EDS it can be defined whether a query for further attachments should appear or not. Documents can also be sent directly from the DMS.

Included XML standards ZUGFeRD & XRechnung

The EDS solution offers the user the choice of sending standard XML formats, such as ZUGFeRD or XRechnung. These are filled directly with data from Business Central and can also be sent directly from BC.

Dynamic setup of all XML schemas

With the XSD tool, any XML schema and other standard XML formats can be defined and stored as shipping options. PEPPOL and Fattura PA are just a few examples of formats that can also be mapped.

Freely definable placeholders in e-mail templates

Both the BC Standard and EDS offer the possibility to define e-mail templates, whereby this is associated with programming effort in the BC Standard. In the e-mail templates of the EDS solution, placeholders are freely definable. These can include any values, such as customer number or name, directly from the Business Central system in the email text and thus display important information directly in the text.

Sending documents from DMS (Simova or third party)

In contrast to the BC standard, EDS by Simova offers an interface to DMS systems, regardless of whether it is the Simova DMS or a third-party system. Thus, documents can be attached directly from the DMS to an e-mail.

Factbox Integration on any Cards & Lists

The EDS Factbox can be integrated on any desired cards and lists to make sending receipts from the system as convenient as possible. In BC Standard, the documents can only be sent on the respective document itself.

Dispatch history overview on factbox

The EDS Factbox displays information about documents that have already been sent, are in the process of being sent, and are scheduled for sending. With just one click you can get more information about the individual areas there.

Transparent overview of all documents sent from the system in a separate dispatch queue.

While the BC Standard does not centrally document the sending of documents from the system, all emails sent via EDS are entered into the so-called EDS Queue. Thus it is always traceable who has sent what to whom and when.

Personal email signature

The BC standard gives the user the possibility to define a default signature for all outgoing emails in the email templates. With EDS, individual users can use their personal email signatures to personalize the emails and give the recipient a direct view of who sent the mail from the system.
