Setting up Document Entry Synchronization

Document libraries represent the storage location of documents. It may happen that files and documents are stored directly in SharePoint. A synchronisation is necessary so that these files and documents are also displayed and listed in DMS by Simova. This can also be done automatically by using a job queue entry.

Assign default mapping

The following steps need to be completed to assign a default mapping to a document library.

  1. Navigate through the DMS by Simova - Administrator role center.
  2. Click on Repository in the ribbon bar and execute the action Document Libraries.
  3. Click on the document library Code that should be configured with the default mapping.
  4. Select a mapping code in the Default Mapping field.

Fill and start the synchronization list

The following steps need to be completed to activate document library synchronization.

  1. Navigate through the DMS by Simova - Administrator role center.
  2. Click on the cue All in the Synchronization section.
  3. Execute the action Fill Synchronisation in the ribbon bar.
  4. Execute the action Start Synchronisation in the ribbon bar.
  5. The synchronisation of the document libraries is carried out.

  • The document libraries are searched and the elements are mapped to the document entry table.
  • The maximum number of background sessions per tenant that the server instance can actively process at the same time is limited to 10. Requests that exceed this limit are queued until a slot becomes available.

Reset the synchronization state

The following steps need to be completed to reset the document library synchronization state.

  1. Navigate through the DMS by Simova - Administrator role center.
  2. Click on the cue All in the Synchronization section.
  3. Execute the action Reset in the ribbon bar.
  4. The synchronisation state is reset.
