Text: "For the live demo we have chosen the following two processes. We will start in the standard Business Central process on the incoming call. We will follow through from an incoming call to the telephone entry list. We will do several perspective changes. On one side we have a colleague from the Finance department and on the other side a colleague from Sales department."

Text: "We will follow through from an incoming call to the telephone entry list. And from the telephone entry to an outgoing call. We will also do several perspective changes. Again, we will switch between the finance department and the colleague from sales department."

Text: "First of all, what do we see here in the DVS User Role Center? Here we see our three types with an overview of the DVS entries created by me, submitted to me and completed by me. I will talk about these and the other stacks later."

Action: Navigate to the open information

Text: "We are now on the default edit page of our DVS entries. this page changes only a little to the respective entry types. In the middle we see the most important info about the entry. In the bottom right corner you will find our process relation factbox. Here we can dive directly to the record."

Action: Navigate over the relation factbox to the customer.

Text: "Now we know which debtor it is and we can note or take note of this information."

Action: Note the information, go back over the factbox (finished entries)

Text: "In the top right corner you find our history factbox. Here we have the possibility to review the real-time history."

Action: Scroll from left to right, to show simple columns. Go back to the customer card and navigate to the open sales quotes.

Text: "Because it is a new customer, we would like to double-check if there are any special conditions, so we are now creating a question for the sales team's leader."

Action: Write a question (Have special conditions been agreed for framework agreements, such as cash discount?), select the sales team leader, the absence function occurs, select the absence representative.

Text: "The standard are vacation and illness days. The absence is managed directly in DVS BC. Similar to your email program."

Action: Switch to Finance

Text: "We start in the BC role center. We navigate over our open questions to answer the entry. To take a look at it, we are able to navigate to the record via the relation Factbox."

Action: Answer the question (No, no special conditions were agreed.)

** Text:** "The question has now been answered and we go back to our colleague in Sales."

Action: Switch to Sales

Text: "We are still in our Sales quote, where we created the question. Via our Factbox "Open Entries" we can navigate to our question. You are probably wondering now why the question is still set to "Open". There is a simple reason for this. The creator of the question is supposed to check the answer first before it is closed. We are happy with the answer and accept it. The entry is now finished."

Action: Accept the answer.

Text: "We are ready, we are going to go back and make the sales quote into a sales order."

Text: "Due to the document relationship in the DVS, all created entries in the data record are automatically transferred so that they can be found at any time and are not lost. Something is missing (External document number). In the past, the external document number has often been missing, so with DVS we have the possibility to create returning entries in catalogs and templates to prevent having to rewrite them every time.

  1. Catalogs = In a catalog, different departments can be created to collect standardized entries.
  2. Templates= A template can include different entries from different catalogs. Example: A trainee's routing sheet that has to pass through different departments and make a checkmark at the end of their time."

Action: Select a critical question from a catalog (What is the external document number?)

Text: "Just imagine the following scenario. A colleague stands in the doorway and asks you for help, then you go to the bathroom and on the way back you get yourself another coffee. Afterwards you sit down again at your place and have lost the thread, you try to post the sales order."

Action: Try to post the sales order

Text: In this case, the block function takes effect for critical entries that are still open. Lucky!

Action: Switch to Finance (EMAIL)

Text: "We could now edit the entry via the role center again, but there is a third way to get to our entries. We have...

  2. Via the role center
  3. Via email notification.

We open our outlook. We click on the link to be navigated to the corresponding record and enter the external document number: EB123456"

Action: Open outlook, click on the link, fill in the external document number (EB123456), navigate via the factbox open entries to the open question, answer the question (The external document number is EB123456, I have already entered it for you.)

Action: Switch to Sales

Action: Navigate to the open entries and accept the answer.

Text: "To inform all colleagues from my department that the data has been checked and is complete, we have the possibility to send an entry to user groups."

Action: Select a information template and select the user group Sales. Posting and shippin of the sales order.

Text: "Finally, we create a task for finance department to review the financial statements."

Action: Select a task catalog and send it to the financial user.

Text: "We switch to our financial user. And now assume that three weeks have gone by in the meantime."

Text: "The incoming money has been noted on the business account. We navigate via the role center to our open tasks and edit them."

Action: Navigate to the open task via the role center and edit them.

Text: "I will leave the task as it is now, because it is the similar procedure as with the questions and information. There is one more special feature that I would like to highlight. In the tasks there is a possibility to create subtasks. For example: house construction, shell construction, electricity, plumbing, carpenter, roofer and so on. The subtasks can be assigned to the respective recipients."
