Setting Up the Incoming List

In order for Smart Processing to be available in an Incoming List, you need to activate the feature and configure additional options depending on the desired level of automation. This article describes the activation, all relevant settings, and the context-based assignment via Smart Processing.
Activate Smart Processing for the Incoming List
- Open the Settings of the Document Inbound - Incoming List.
- Activate the option Activate Smart Processing.
After activation, the options described below will be available.
Options in the Incoming List

| Use Static Classification | Every uploaded document automatically receives the statically assigned classification. | When the incoming list is already pre-sorted (e.g., exclusively invoices). |
| Classify Document on Upload | Documents are classified upon upload. | Activate if classification should occur early to trigger subsequent actions directly. |
| Automated Processing | New documents are added to the Job Queue for background processing. | For dark processing without manual intermediate steps (details see article Automated Processing). |
Note
Use Use Static Classification when incoming channels are clearly separated. In mixed lists, dynamic classification using the method chosen in Classification Setup is recommended. However, this option requires that you have already set up Workflows.
Assignment via Smart Processing (Context-Based)
With Assignment via Smart Processing, you assign documents from the context. Captured document information is matched against Document Central Mapping to find suitable target records in Business Central and correctly populate metadata.
Create Setup
- In the Incoming List, select Assignment Method as Assignment via Smart Processing.
- Open the options field and select New to create a Smart Processing Assignment Setup.
- Follow the Wizard.
Important Setup Fields

Setup Code Unique code of the assignment setup.

Document Central Mapping Select Mapping Code and Content Type Name to be used for the Smart Processing assignment. The Content Type controls the correct storage.

Mapping Matching Link metadata fields from the Document Central Mapping with captured fields from the document:

Linking Key Field – Defines the search field used to find the target record in Business Central (e.g., creditor by VAT ID number).
- Additional Metadata Fields – Can be filled with captured values and archived with the document.
- Matched Field Search Names – Provide search names/synonyms for a metadata field so that the capture method reliably identifies the correct values.
Important
The quality of the assignment directly depends on the data quality of the captured fields and the unique keys in the mapping. Use unique identifiers (e.g., numbers instead of free text) whenever possible.
