Setting up mappings and related records
To setup a Mapping, you need to have configured Document Central first, the Mappings of Document Central will be used by Document Central Link. The Mapping in Document Central Link consists of the head mapping wich is used to map the incoming attachment emails to a specific record.
Mapping
For example, we want to map an incoming Email to a Customer, so we select the Customer from the DMS Mapping and set the Relation field to the E-Mail field. For better understanding here is an step by step guide to configure the Customer as an Head Mapping:
- Open the Search on the top right corner.
- Search for Document Central Link | Mappings and open the page.
- Select the mapping code CUSTOMER that is provided by the Document Central Default configuration.
- Select the Document Central Link Relation Field, in the case of the customer Table the field should be Email (108)
- Select the Mapping field, this is in most cases the primary key and is used in later steps to assign related records to the mapping. In the case of the customer mapping, the field should be No.
Sequence
The Mapping should now be ready to go. If you have multiple mappings configured you can order them via the sequence field, this way you can influence the order the Mappings are shown.
Domain Match
The Domain Match is a verry useful function that you can use to domain match specific emails, for example you have a customer that has the the mail info@microsoft.com, and there is an incoming mail from for example alans@microsoft.com, Document Central Link will match the domain @microsoft.com to the customer with the info mail and retrieve the configured Data.
Captions
With this action you can configure the captions shown on the first level of of the Outlook Add-in. On the first level, you can configure both Multilanguage Text and Dynamic Field values.
Related Records
You can setup related records, wich will be shown in the Add-In, assigned to the mapping you have configured before. for example we take the mapping we have created in the step before.
- Open the Search on the top right corner.
- Search for Document Central Link | Mappings and open the page.
- Select the record with the Customer mapping code.
- Click the Action Related Records
- On the newly opened page select the document central mapping code that you want to assign to the mapping for example P-S-INVOICE.
- For the Mapping field you select the field where the Key is, you want to map, in this example it can be Bill-to Customer No or Sell-to Customer No.
Linehead Caption
With this action you can configure the captions shown on the second level of of the Outlook Add-in. On the Linehead, you can only configure Multilanguage Text.
Line Caption
With this action you can configure the captions shown on the third level of of the Outlook Add-in. On the third level, you can configure both Multilanguage Text and Dynamic Field values.
