Retention Label Queue Entries
Retention Queue Entries Origin
In Document Central, the Retention Queue Entries serve as a central overview for all documents that have been identified within the retention logic and are about to be assigned a Retention Label. These entries are generated by various processes that are either automated or manually triggered. The queue provides a transparent view of which documents are currently in the labeling process and how they entered the queue.
For each entry, the origin of the document is indicated — that is, the source of the label suggestion. This could be, for example, the Retention Label Crawler, which regularly scans all stored content based on defined criteria. Alternatively, a document may enter the queue through a manual upload, a manual labeling action, or via transfer from an archive. This origin information is crucial for understanding the context of the label assignment and for responding specifically to certain sources or processes if necessary.
The Retention Queue also shows the current status of each entry, such as whether the label assignment is still pending, has already been completed, or is in progress. This allows administrators and compliance officers to maintain an overview of the progress of automated archiving and to intervene manually if needed.
Overall, the Retention Queue is an important tool for ensuring compliant and transparent document management. It helps companies meet legal retention requirements while efficiently managing internal processes.
Retention Label Crawler
The Retention Label Crawler in Document Central is an automated process that scans already stored documents to retroactively assign Retention Labels. It operates based on its own queue and follows the rules defined in the Retention Label configuration. The crawler can be started either automatically via the Job Queue or manually through the administrator interface. After the run, the affected documents are transferred to the Retention Queue, where they are ready for further processing.
Manual Upload
When manually uploading documents to Document Central, there is an option to assign a Retention Label directly. These labels define how long a document should be retained and what rules apply to its archiving. When a document is manually uploaded, a suitable label can either be selected immediately or the process can be configured so that the system automatically suggests an appropriate label. The manual upload is therefore not only a flexible method for capturing documents but also an important entry point into the rule-based retention process.
Labeling with Manual Actions
The status “Labeling with Manual Actions” is assigned in the Retention Queue whenever a document is manually labeled with a Retention Label afterward. This can occur, for example, directly in the datagrid or in the document entries when a user specifically selects a label to define the retention rules for a particular document. Unlike automatically detected or uploaded documents, this status indicates that the label assignment was not made by the crawler or an upload process but through a deliberate manual action.
