Welcome to Document Central Compliance

The Compliance feature extends Document Central with core functionalities for ensuring legal, regulatory, and internal company requirements in document handling. It offers comprehensive control, protection, and traceability mechanisms that integrate seamlessly into existing processes.

A central element is Access control, which allows role-based management of access to sensitive documents. User groups can be specifically defined to ensure that only authorized individuals can view or edit certain documents. In addition, Secure Masking enables automatic redaction of sensitive content in PDF documents – either rule-based via regular expressions or using AI-supported detection. This ensures that specific user groups receive only redacted versions of the documents.

For complete traceability of document-related activities, the Document Log is used. It logs all accesses, changes, and actions on documents and provides this information in an audit-proof manner. The logs are immutable and thus meet the requirements for audit-proof documentation.

Retention Labels allow the definition and automated enforcement of retention periods for documents. After the retention period expires, documents can either be archived or deleted – depending on the configured policy. This function supports companies in complying with legal deletion and archiving obligations.

All processes are documented in an audit-proof manner, immutably logged, and meet the requirements of external audits. For companies using SharePoint Online as a storage solution, the Compliance feature offers granular control of SharePoint permissions. These can be managed directly from Business Central and synchronized with internal access controls.
