Setting Up E-Post

The E-POSTBUSINESS API from Deutsche Post allows companies to send digital documents as physical letters directly from their systems. By integrating this API into Document Dispatch, the entire letter dispatch process can be automated. This eliminates manual steps and significantly increases the efficiency and speed of the process.

Creating an E-POST Shipping Profile

To send documents via the E-POSTBUSINESS API, a shipping profile for letter dispatch must first be created.

Steps to Create an E-POST Shipping Profile:

  1. We start in the role of Document Dispatch - Administrator.
  2. Open Shipping Profiles in the Setup menu.
  3. Click on New to create a new shipping profile.
  4. Enter the desired name in the Code field, select E-POST as the Output Type, and define the Table (e.g., 112 – Sales Invoice Header).
  5. Additional output options can be defined for this shipping profile, such as Color Printing or Duplex Printing, and whether these options should be fixed and non-editable.

Info

  • The E-POST output type is used in conjunction with the PDF Report Output Type. If an attachment, such as an image in .png format, is added, it will automatically be converted into a PDF file for optimal API processing.

Document Dispatch E-Post Business Partner Mapping

The E-POST Business Mapping defines which data from Business Central is used for automated letter dispatch via the E-POSTBUSINESS API. It ensures that all relevant information such as debtor, contact, address, and country details are correctly transmitted to Deutsche Post.

Follow these steps to set up the E-Post Business Mapping:

  1. Start in the role of Document Dispatch - Administrator.
  2. Navigate to Mapping in the menu and open Business Mapping.
  3. Alternatively, search for Business Mapping Setup.
  4. Open the required Business Partner Mapping.
  5. Navigate to the E-Post section.
  6. Fill in the required fields.

The field numbers are based on the customer:

Field Field Description
Companyname (2) Name
E-Post Addressline (5) Address
E-Post City (7) City
E-Post Post Code (91) Post Code
E-Post Country (35) Country/Region Code

Country and Region Translation

Important

If your system is not set to German, you must enter the code DEU with the corresponding German country name for each country in the translations.
This requirement is mandated by the specification of Deutsche Post.
Before using E-Post, check that all relevant country translations are correctly maintained to avoid errors.

Follow these steps to add a translation:

  1. Start in the role of Document Dispatch – Administrator.
  2. Open the Global Search (magnifying glass icon) and search for Country/Region.
  3. Select the corresponding country/region code that is stored for a customer.
  4. Navigate to Country/Region and open the Translation section.
  5. Now you need to assign the code "DEU" and write out the name of the country in German.
    • Example: You select "ES", open the translation, enter "DEU" as the code, and specify "Spanien" as the name.

Configuring Reports for Optimal Address Placement (Optional)

Users can set preferences for letter dispatch. These settings can be configured individually for each report, with only the first attachment being used and modified for automatic address placement.

  1. Create a new line of the Shipping Profile Attachment for optimal address placement and select the attachment with the type Report.
  2. Execute the Options action in the menu bar.
  3. Under the E-Post Setup tab, you can now set up the address overlay by clicking on the To Address Overlay field.
  4. Select your desired report from the rows below and then use the action "Select Address Overlay".
  5. A report should then be printed, where any record can be selected.
  6. After selection, the address overlay can be adjusted on the printed report with the selected layout.
    • You can select the area of the address overlay by holding the right mouse button.
  7. After selecting the address area, you can confirm your input with the action Done.

This completes the setup of the E-POSTBUSINESS API, enabling automatic letter dispatch from Document Dispatch.
