Setting up Output Type FTP
With Document Dispatch, you can automatically make invoices or other business-related documents available on an FTP server. This feature enables secure and structured file transfer, ensuring recipients have access to the required documents at any time. By integrating into existing workflows, Document Dispatch reduces manual effort and provides an efficient, reliable way to distribute invoices or other document types.
Follow the steps below to set up a FTP output type:
- We start in the Document Dispatch - Administrator role.
- Open Dispatch Profiles from the Setup menu in the ribbon bar.
- Press New to create a new Document Dispatch profile.
- Enter a name in the Code field to clearly indicate the purpose of this setup. This ensures that the configuration can be easily identified for the intended type of sending.
- Choose FTP as an Output Type.
- Select a table from which documents should be sent using this Dispatch profile.
Output Type Setup
The Output Type Setup defines how documents are sent using the selected output method. For example, when using Email, you can configure the basic settings required to send documents by email
Follow the steps below to open Output Type Settings:
- We start in the Document Dispatch - Administrator role.
- Open Dispatch Profiles from the Setup menu in the ribbon bar.
- Select the Dispatch Profile with the Output Type FTP.
- In the ribbon, click Output Type Settings to open the configuration page.
FTP
This screen lets you set up FTP details for document dispatch. You define the host name, user credentials, protocol (SFTP), and output path. Additional options include port, timeout, security settings, and features like creating date-based subfolders.
Test FTP Connection
Once the FTP server configuration has been created, the connection can be tested using the “Test FTP Connection” option.
- We start in the Document Dispatch - Administrator role.
- Open Dispatch Profiles from the Setup menu in the ribbon bar.
- Select the Dispatch Profile with the Output Type FTP.
- In the ribbon, click Output Type Settings to open the configuration page.
- After setting up your FTP server, click Test FTP Connection in the menu bar.
Succsess
If you receive the following message, the connection to the FTP server has been successfully established:
- The connection was successful. A file named Test.txt has been uploaded to the FTP server at the configured FTP output path.
When the connection is not successful, you will receive an error message indicating the specific issue
Create a Dispatch Profile Attachment
After creating the Dispatch Profile, the next step is to configure an Attachment. There are different types of attachments available, such as:
