Document Central Year-End Transition
To use Document Central in conjunction with SharePoint Online, a new annual archive must be created in SharePoint at the year-end.
Users of Document Central in the Business Central Cloud can utilize a task queue: Document Central Order Queue – Cycle Creation
Important
This task queue automatically creates a new cycle. Check if it exists in your system and has the status "Ready". Also, verify that at least 1 is defined in the Future Subsite field in your SharePoint.
To check if subsite creation is enabled in SharePoint, follow these steps:
- Navigate to your repository setup via the Setup menu.
- Click on the SharePoint Code to open the repository configuration.
- Open the SharePoint site by clicking on the three dots next to the Web Application URL.
- A new page will open with the currently used SharePoint site.
- Open the SharePoint Admin Center by clicking on the nine dots (App Launcher) in the top left and then selecting Admin.
- Click on Show All in the left column.
- Under the Admin Center section, find the entry for SharePoint, which you can open by clicking.
- You are now in the SharePoint Admin Center. Click on Settings.
- Open the Classic Settings Page.
- Enable the option Enable Subsite Creation for all Sites.
You can also manually create a new cycle.
To do this, follow these steps:
- Navigate to your repository setup via the Setup menu.
- Click on the SharePoint Code to open the repository configuration.
- Now enter a number, e.g., 1, in the Future Subsites field so that a subsite can be created for the year 2026.
- Navigate back to the Role Center and use the magnifying glass to search for Subsites and open it.
- Click on Configuration and then on Fill List from Configuration.
- You may be asked if you want to create older subsites; you can click No if you do not wish to do so.
- A window with a date selection should open. Select 01.01.2026.
- After confirming, a new subsite for the year 2026 should be created. You just need to select it and publish it.
- From 01.01., a complete SharePoint data update must be performed in the module setup.
NAV or Business Central Version 25 or Lower
Users of Document Central on NAV or Business Central version 25 (or lower) can easily complete the annual archiving in SharePoint with the following guide:
- Open Microsoft Dynamics NAV.
- In NAV, select Simova Apps | DMS under Departments.
- On the Simova Apps | DMS page, select SharePoint.
- On the SharePoint page, select SharePoint Document Library.
- On the SharePoint Document Library page, select all document libraries and perform the action Create New Cycle.
- Enter the desired year for the new cycle and click OK.
- From 01.01., a complete SharePoint data update must be performed in the module setup.
With this, all necessary steps are completed, and your environment is prepared for the new year.
