Working with Contract Tasks & Obligations

Contract Tasks & Obligations allow you to assign, track, and manage specific activities and responsibilities within a contract. They provide a clear overview of what needs to be done, by whom, and by when — ensuring accountability and timely contract execution.


Purpose of Tasks & Obligations

  • Assign actionable items and responsibilities to users involved in a contract.
  • Track obligatory and optional tasks, including deadlines and completion status.
  • Provide users with a personal overview of their open tasks and obligations, directly on their Role Center.

Managing Contract Tasks

Tasks are defined in the Contract Task table and linked to a contract. To manage tasks and obligations:

  1. Open the Contract Card.
  2. Use the Contract Tasks part at the bottom of the page to view, add, or edit tasks for the contract.
  3. Assign each task to a user responsible for its completion.
  4. Set the Due Date and mark whether the task is Obligatory.
  5. Users can update the Status of their assigned tasks directly from their Role Center.

Role Center Task Overview

Each user has access to a dedicated list of assigned tasks on their Role Center. This list provides a quick overview of open items that require attention.

  • The list is filtered automatically by the current user.
  • Tasks with Status = Completed are hidden from the list.
  • Both regular users and administrators can access their respective task views.
  • Tasks are sorted by Due Date, with soonest deadlines shown first.
  • The Due Date is highlighted in red if the task is due or overdue.
  • Users can update the Status of their tasks directly from the Role Center without opening the contract.

Key Fields

Field Description
Contract No. The contract to which this task belongs.
Task Title The title or description of the task or obligation.
Assigned To The user responsible for completing the task.
Due Date The date by which the task should be completed.
Obligatory Indicates whether the task is mandatory for contract fulfillment.
Status The current status of the task (e.g., Not Started, In Progress, Deferred, Completed).
Notes Additional notes or comments about the task.

Task Status

  • Not Started: Task is assigned but not yet begun.
  • In Progress: Task is currently being worked on.
  • Deferred: Task has been postponed and will be resumed at a later date.
  • Completed: Task has been finished.

Obligatory Tasks

Tasks marked as Obligatory are required for contract compliance or completion. Non-obligatory tasks are optional but may still be tracked for process transparency.


User Experience

  • Each user sees a personalized list of their open tasks on their Role Center.
  • Overdue tasks are visually highlighted to draw attention.
  • All other fields are read-only to prevent accidental changes.

Behavior

  • Contract Tasks are visible both within the Contract Card (in the Tasks & Obligations part) and in the Role Center task list.
  • Filtering and visibility rules ensure that each user only sees their own active tasks in the Role Center.
  • Administrators can view task lists across all users for monitoring and workload management.
