Working with Contract Tasks & Obligations

Contract tasks & obligations allow for the assignment, tracking, and management of specific activities and responsibilities within a contract. They provide a clear overview of what needs to be done, by whom, and by when — ensuring traceability and timely contract fulfillment.


Purpose of Tasks & Obligations

  • Assignment of specific tasks and responsibilities to users involved in a contract.
  • Tracking of mandatory and optional tasks, including deadlines and processing status.
  • Providing a personal overview of open tasks and obligations directly in the role center.

Managing Contract Tasks

Tasks are defined in the Contract Task table and assigned to a contract. Here’s how to manage tasks and obligations:

  1. Open the Contract Card.
  2. Use the Contract Tasks section at the bottom of the page to view, add, or edit tasks.
  3. Assign the responsible user to each task.
  4. Set the due date and indicate whether the task is mandatory.
  5. Users can update the status of their assigned tasks directly in the role center.

Task Overview in the Role Center

Each user has access to their own list of assigned tasks in the role center. This list provides a quick overview of open items that require attention.

  • The list is automatically filtered by the current user.
  • Tasks with the status = Completed are hidden.
  • Both regular users and administrators can view their respective task lists.
  • Tasks are sorted by due date, with the earliest dates appearing first.
  • The due date is highlighted in red when the task is due or overdue.
  • Users can change the status of their tasks directly in the role center without needing to open the contract.

Important Fields

Field Description
Contract No. The contract to which this task belongs.
Task Title The title or description of the task or obligation.
Assigned To The user responsible for completing the task.
Due Date The date by which the task must be completed.
Mandatory Indicates whether the task is mandatory for contract fulfillment.
Status The current status of the task (e.g., Not Started, In Progress, Deferred, Completed).

Task Status

  • Not Started: Task has been assigned but not yet started.
  • In Progress: Task is currently being worked on.
  • Deferred: Task has been postponed and will be continued at a later time.
  • Completed: Task has been finished.

Mandatory Tasks

Tasks marked as mandatory are required to properly fulfill the contract. Non-mandatory tasks are optional but can still be tracked for transparency and traceability.


User Experience

  • Each user sees a personal list of their open tasks in the role center.
  • Overdue tasks are visually highlighted to draw attention.
  • All other fields are read-only to prevent unintended changes.

Behavior

  • Contract tasks are visible both within the contract card (in the Tasks & Obligations section) and in the task list of the role center.
  • Filter and visibility rules ensure that each user only sees their own active tasks in the role center.
  • Administrators can view the task lists of all users to monitor progress and workload distribution.
