Working with Contract Participants

Contract Participants are users who are actively involved in the execution, negotiation, or management of a contract.
They differ from Observers, since participants typically have a defined role (e.g., Legal Advisor, Project Manager) and may also receive email notifications about contract changes.


Purpose of Participants

  • Assign specific responsibilities to individuals within the contract process.
  • Provide a clear overview of all roles connected to the contract.
  • Ensure that all relevant stakeholders are informed and engaged.

Managing Contract Participants

Participants are defined in the Contract Participant and linked to a contract.
To manage participants:
1. Open the contract card.
2. Use the action View Participants. 3. Add the users who are actively involved in the contract.
4. Select the appropriate Participant Type for each person.


Key Fields

Field Description
Participant ID User ID of the participant (linked to system users).
Participant Type Defines the role of the participant (see list below).
Notify By Email Specifies whether the participant should be notified by email about contract changes (default = Yes).

Participant Types

The following participant roles are available:

  • Compliance Officer
  • Finance Manager
  • Legal Advisor
  • Negotiation Lead
  • Procurement Manager
  • Project Manager
  • Quality Manager
  • Signing Manager

Behavior

  • Multiple participants can be assigned to a contract.
  • Each participant has a role-based classification through the Participant Type.
  • If Notify By Email is enabled, the participant will automatically receive notifications when the contract changes.
