Working with Contract Observers

Observers are additional persons who can be linked to a contract in order to receive notifications about changes or status updates.
They are not responsible for approving or reviewing the contract but serve as information recipients.


Purpose of Observers

  • Ensure that stakeholders are kept informed about contract progress.
  • Provide transparency without requiring approval rights.
  • Notifications can be sent automatically via email if configured.

Managing Contract Observers

Observers are defined in the Contract Observer and linked to a specific contract.
To manage observers:
1. Open the contract card.
2. Use the action View Observers. 3. Add one or more users as observers.


Key Fields

Field Description
Observer ID User ID of the observer (linked to system users).
Notify By Email Indicates whether the observer should be informed by email about contract changes (default = Yes).

Behavior

  • Multiple observers can be assigned to a single contract.
  • Observers do not influence approval or review flows.
  • If Notify By Email is activated, the system will automatically send emails for contract status changes (depending on setup).
