Working with Contract Observers
Observers are additional persons who can be linked to a contract in order to receive notifications about changes or status updates.
They are not responsible for approving or reviewing the contract but serve as information recipients.
Purpose of Observers
- Ensure that stakeholders are kept informed about contract progress.
- Provide transparency without requiring approval rights.
- Notifications can be sent automatically via email if configured.
Managing Contract Observers
Observers are defined in the Contract Observer and linked to a specific contract.
To manage observers:
1. Open the contract card.
2. Use the action View Observers.
3. Add one or more users as observers.
Key Fields
| Field | Description |
|---|---|
| Observer ID | User ID of the observer (linked to system users). |
| Notify By Email | Indicates whether the observer should be informed by email about contract changes (default = Yes). |
Behavior
- Multiple observers can be assigned to a single contract.
- Observers do not influence approval or review flows.
- If Notify By Email is activated, the system will automatically send emails for contract status changes (depending on setup).
