Module Setup

This article provides a detailed explanation of the various general settings available in the Contract Management module setup. These settings affect the overall functionality and behavior of the extension and allow users to customize their experience.

Activating the Module

The functions and processes of Contract Management can be manually turned on and off. The module is disabled in the default configuration via the setup wizard.

To activate Contract Management, follow these steps:

  1. Navigate to the Contract Management - Administrator role center.
  2. Click on Setup in the menu bar and perform the action Module Setup.
  3. Check the box Activate Module.
  4. The Contract Management module is now activated.

Note

It is important that Contract Management is only activated when a valid license (including trial version) and setup are in place.

Number Series for Contracts

In the Contract No. Series field, you specify which number series will be used for contracts.

To set up the number series:

  1. Navigate to the Contract Management - Administrator role center.
  2. Open Setup and perform the action Module Setup.
  3. Select the desired number series in the Contract No. Series field.
  4. Save the changes.

Control of Review, Approval, and Activation

The Contract Management module offers flexible options for contract review and activation:

  • Start Approval After Review
    If enabled, the approval process automatically starts after a contract review.

  • Activate Contract After Flow
    If enabled, the contract is automatically activated after the completion of review and/or approval.

  • Manual Contract Activation
    This option allows contracts to be activated manually.

  • Manual Reset of Contracts
    If enabled, contracts can be manually reset (e.g., for re-review).

Control of Review, Approval, and Activation

The Contract Management module offers flexible options for contract review and activation:

  • Start Approval After Review – Automatically starts the approval process after a review.
  • Activate Contract After Flow – Automatically activates the contract after review/approval.
  • Manual Contract Activation – Contracts can be activated manually.
  • Manual Reset – Contracts can be manually reset.

To set up the options:

  1. Navigate to the Contract Management - Administrator role center.
  2. Open SetupModule Setup.
  3. Enable or disable the desired checkboxes.
  4. Save the changes.

Warning

Only enable automatic options if your approval process allows for it.

Default Language Setting

In the Default Language field, you define the default language used for email sending or notifications when no language is specified for the contact or user.

To set the default language:

  1. Navigate to the Contract Management - Administrator role center.
  2. Open Setup and perform the action Module Setup.
  3. Select the desired language in the Default Language field.
  4. Save the changes.

Email Templates for Notifications

Custom email templates can be defined for different notification types:

  • Review Notification
  • Approval Notification
  • Person Responsible
  • Participants
  • Observers
  • Contract Termination (internal)
  • Contract Termination (to counterparty)
  • Contract Renewal

To set up email templates:

  1. Navigate to the Contract Management - Administrator role center.
  2. Open Setup and perform the action Module Setup.
  3. Select the desired template in the respective field (e.g., Email Review – Template Code).
  4. Save the changes.

Note

All email templates must be defined in the Email Template beforehand.

Default Intervals for Contracts

You can define default values for contract intervals that are automatically suggested when a new contract is created:

  • Default Renewal Interval (e.g., <1Y>)
  • Default Termination Lead Interval (e.g., <-3M>)
  • Default Termination Interval (e.g., <-4M>)
  • Default Renewal Deadline Interval (e.g., <-4M>)
  • Default Termination Deadline Interval (e.g., <-4M>)

To set default intervals:

  1. Navigate to the Contract Management - Administrator role center.
  2. Open Setup and perform the action Module Setup.
  3. Enter the desired values in the respective fields.
  4. Save the changes.

Info

All intervals are stored as DateFormulas and can be customized individually.

Role Center Chart

Through the setting Enable Rolecenter Chart, you can determine whether charts should be displayed in the Contract Management role center.

To enable/disable the chart:

  1. Navigate to the Contract Management - Administrator role center.
  2. Open Setup and perform the action Module Setup.
  3. Enable or disable the Enable Rolecenter Chart field.
  4. Save the changes.

Email Account

In the Email Account ID field, you specify which account will be used for sending emails.

  • If no account is specified, the account with the scenario Business Portals General is used by default.
  • If no account is defined there either, the default account is used.

To specify the email account:

  1. Navigate to the Contract Management - Administrator role center.
  2. Open Setup and perform the action Module Setup.
  3. Enter the desired GUID in the Email Account ID field or select an account.
  4. Save the changes.

Note

Ensure that the specified account has access to all necessary SMTP/Exchange permissions.
