Quick Start

Contract Management can be implemented and activated very quickly. This allows for a rapid return on investment. Contract Management offers a high degree of customization through configuration. Many areas can be individually tailored, and processes can be managed through a setup. However, the goal of Simova products is that the commissioning is very simple and fast.

The following steps must be taken to quickly get started with Contract Management.

  1. Install the Contract Management extension from the Marketplace.
  2. Follow the steps from the guided experience checklist.

Installation from the Extension Marketplace

Contract Management can be installed directly in Business Central via the Extension Marketplace. The Extension Marketplace integrates the AppSource Marketplace into Business Central.

Follow these steps to install Contract Management via the Extension Marketplace.

  1. Click on the search icon Image, enter Extension Marketplace, and then select the corresponding link.
  2. Enter Contract Management in the search field on the right side.
  3. The Contract Management extension from the provider Simova GmbH will appear in the search results.
  4. Click on the Free Trial button.
  5. Enter the required information and click Next.
  6. Select the desired language and click Install.
  7. The Contract Management extension will now be installed.

Execute Guided Experience Checklist

Contract Management provides a guided experience for quick setup. The guided experience offers a checklist that can be completed in just a few minutes. Assign yourself the role of Contract Management Administrator to execute the steps in the checklist.

Follow these steps to assign the role of Contract Management Administrator.

  1. Click on the settings icon image and select My Settings.
  2. Change the Role to Contract Management - Administrator and click OK.
  3. Business Central will reload, and the role of Contract Management Administrator should be displayed.

The checklist is visible at the top in the role of Contract Management Administrator and includes the following items. Each item can be executed step by step and checked off upon completion, allowing you to easily track which tasks have been successfully completed.

Info

If the checklist is not visible in the role of Contract Management Administrator, search for Show Checklist in the search bar and execute the action. This will reload the current role and reactivate the checklist.

License Your Contract Management

To use Contract Management, a license must be activated. The following steps will guide you through the licensing process. Follow these steps:

  1. Click on Start in the checklist to launch the licensing wizard.
  2. Click on Start on the welcome page to begin the wizard.
  3. To use Contract Management, please read the Privacy Policy and the End User License Agreement.
  4. Accept the terms by checking the box I accept the terms.
  5. Click Next.
  6. Enter your license information in the fields Customer Number and Activation Key or start a trial by clicking Start Trial.
  7. Click Next.
  8. Add the users you want to license for Contract Management. Select the users by their User ID and click Activate.
  9. Click Next.
  10. Select a contact person for Contract Management by their User ID and click Next.
  11. Complete the wizard by clicking Finish.

Configure Email Account

One of the most important output methods is sending via email. Contract Management uses the standard email account functionality of Business Central. To configure an email account, follow these steps:

  1. Click on Start in the checklist to begin configuring an email account.
  2. Click on Start on the welcome page to launch the wizard.
  3. If an email account exists, select it. Otherwise, click on Create New Email Account.
  4. Click on Next on the welcome page for email account setup to start the wizard.
  5. Select the preferred email account type and follow the wizard steps until the account is created.
  6. Return to the email account wizard page and click Next.
  7. Complete the wizard by clicking Finish.

Set Up Supported Languages

Contract Management supports sending emails in multiple languages. Depending on the language of the master data, the corresponding language-specific email template will be used. To ensure this functionality, you need to add the known languages in Contract Management. Follow these steps to add a language:

  1. Click on Start in the checklist to begin the process of adding a language.
  2. Click on Start on the welcome page to launch the wizard.
  3. Add a language by selecting the three-letter language code in the Code field.
  4. Complete the wizard by clicking Finish.

Email Template

Email templates facilitate communication in Contract Management. They save time, reduce errors, and ensure a consistent appearance to customers.

To configure email templates, follow these steps:

  1. Click on Start in the checklist to add email templates.
  2. The Core – Email Templates window will open.
  3. Choose a unique code for your email template. You can enter in the Description field what the template will be used for.
  4. Click on Edit.
  5. Now select a language that you want to add in the Language Code column.
  6. In the Subject column, you can configure a subject for the selected language.
  7. In the Text Editor, you can add any email text. You can also work with placeholders in the subject and text.
  8. Close the window when you are finished setting up the email template. Follow the next step if you want to define email placeholders.

Configure Email Placeholders

Placeholders allow you to insert dynamic content into email templates. They will be automatically replaced with the corresponding data from the system, such as the recipient's name, contract date, or company name. This allows templates to be flexibly used for different recipients without the need for manual text adjustments.

If you are already in the Core – Email Templates area, follow these steps:

  1. Define in your email text the content that should change dynamically with %1. You can add more placeholders by continuing the sequence.
  2. Click on Email Placeholders.
  3. Click on the Placeholder column if the list is empty. It will automatically fill with %1. You can add more placeholders by clicking on the next column.
  4. In the Field area, select what content the placeholder should be filled with.
  5. You can add as many placeholders as you like.
  6. Close the window when you are finished setting up email placeholders and email templates.

Set Up Approval Workflow

In Contract Management, there is the option to set up approval workflows consisting of the steps Review and Confirm. These workflows ensure that contracts are carefully reviewed and approved before final release. In the next step, you will learn how to configure these approval workflows and tailor them to your individual requirements.

Follow these steps to set up approval workflows:

  1. Click on Start in the checklist to add an approval workflow.
  2. For your approval workflow, select a unique code for identification under Code.
  3. You can enter a description in the Description column to uniquely identify the approval workflow.
  4. In the Responsibility Type area, select either One or All.
  5. By clicking on the number in the Number of Authorized Persons column, you will open the window for the authorized persons of the respective approval workflow.
  6. Use the Drop-down Menu to add a person from the core users.
  7. You can decide whether the person should receive a notification email when an approval workflow is started.
  8. If you add more than one person, you can set a sequence in the Sequence column.
  9. Close the windows when you are finished.

Final Steps

In the final step, you will make the relevant settings to activate Contract Management. Follow these steps:

  1. Click on Start Tour in the checklist to initiate the setup of the final steps.
  2. You will be redirected to the module configuration, where you can take a tour that guides you through all relevant steps for setting up Contract Management. Click on Take Tour to start the module setup tour.
  3. After completing the tour, make the page editable and check the box Activate Module to activate Contract Management.
  4. Congratulations! Contract Management is now activated and ready for use.
